Automated Data Processing

Forms Processing

by Seth Cotterell

Traditionally, businesses have employed data entry personnel to input information manually into computer systems. Manual entry of data, however, is not only time consuming, it is also quite expensive. It is expensive because of the high cost of employee salary and benefits, but also because of human error. Errors by data entry personnel must be located and corrected and they are not realized until it is too late. This slows down the process and reduces its efficiency.

Automated Forms Processing

Automating the data entry process is the best way to combat this problem. Automating the process will lead to fewer errors because most automated systems have content validation built right in that will catch potential discrepancies immediately and then correct the problem. The result is faster, more accurate forms processing and less money spent trying to correct problems that could have been prevented in the first place.

Automating forms processing is a strategy many companies are using to increase productivity and profitability. Forms processing software is able to read documents in a variety of formats. Sophisticated software can read invoices, e-mails, insurance forms, shipping receipts, and many other common business documents and then transmit information to a central database for further evaluation and analysis.

Data accuracy is a top concern for businesses. Forms processing software must be able to provide content verification capabilities in order to be useful. Software has built in recognition features that are the first line of defense against errors. Recognition allows the software to detect possible errors of certain types and then correct those errors. The second line of defense is content verification. This is the step where a human operator reviews the captured information to see if the automated recognition was accurate. Recognition and verification result in forms processed quickly and extremely accurately.
