Human Resources Management Software

by Serena Berger

Human resources management software (HRMS) can save hours of time and significant amounts of money in labor costs--and the savings increase exponentially the larger your company becomes. In a small company, you may face the prospect of hiring an HR person who doesn't really have enough to do to occupy a full work week. You'll find yourself paying this person at a higher rate to do basic administrative tasks when not executing HR responsibilities, and that's not ideal.

As a small business owner or manager, you may try to take care of a lot of HR administration yourself, but this is also not the best idea for your company. You need to do what you're best at, and you need to stay at the helm of your business with your broader vision in focus. Trying to figure out the intricacies of filing tax paperwork for different employee statuses, determining HIPAA compliance, or playing policeman about late clock-ins is not the best use of your time.

Every company from the smallest neighborhood business to the largest international corporation can benefit from the right HR management software. The key is finding a package that enables you to get what you want without paying for what you don't need. Then, you want to make sure it's customizable and backed up with the kind of customer service you can rely on.

Support for Human Resources Management Software

For example, it's likely that a large company will want to have an IT staff to support their management software. The more important information you have on a centralized database, the more important it becomes to have backup copies, to have a good security and encryption system, to have a way to restrict or allow access to particular individuals or IP addresses, and to have a staff who can troubleshoot any problem. When choosing your software, find a program from a company that offers training for both the administrators and the tech people who will be responsible for it on a day-to-day basis.

If you're a small business owner or manager, however, you may depend on support from a representative of the software company. If it's important to you, look for 24-hour tech support, as well as the option to email, phone, or even tele-conference with the support personnel. Once an HR management software program is so thoroughly woven into the daily operations of your company, you will not want to risk being unable to work because you run into a glitch with the program.

Automatically Updating Human Resources Management Software

Another important aspect of a superior software program is being automatically update with the latest tax information and governmental regulations. Rules for withholding can change every year on a local, state, or federal level. COBRA policies can shift, and there can be serious consequences for non-compliance with regulations such as HIPAA or the Sarbanes-Oxley Act. Take a huge burden off your shoulders by using smart HR management software that knows all of the rules and regulations that apply to your business.

There are really countless areas of your business that can be streamlined and made more efficient with software that falls under the umbrella of HRMS. Payroll, time and attendance, training, benefits, and employee self-services are all important functions that can be improved with the right software. Sometimes the idea may be to empower employees to act with more autonomy and take more initiative, while other times, it may be simply to make it faster and easier to get data when you need it.

Use HR management software to expedite and clarify your recruiting and interviewing procedures. Use it to send time-sheet and payroll information directly to any of the major third-party payroll providers. You can also use it to administer employee evaluations and foster an environment with better communication about expectations and assessment of job performances.
