A special event has so many aspects that need to be covered, outside of choosing the time and place. The number of attendees must usually be kept within reasonable bounds, unless it is a truly public event. In that case, people can be expected throughout the day. A book or art festival, or a grand opening of a store or library, would fall into this category. Any of these might benefit from professional entertainment during the day, but who knows how to contact and contract singers, bands, or jugglers?

Along with choosing the time and place, a decision will need to be made about the event being held indoors or out. Will tents or canopies be needed as a contingency in case of inclement weather? How much square footage will be the minimal satisfactory amount? Can the desired food be served outdoors safely? How many tables and chairs are needed? Do you need a dance floor, or a stage and a podium? And whatever else is forgotten, more-than-adequate toilet facilities must be provided.

Whether public or semi-private, there is the issue of liability insurance. A professional planning service should advise you of the need for that without being asked. If the subject is not on their checklist, the customer should make a point of asking. Most civil jurisdictions require liability and fire insurance, even for events hosted for charitable causes. Along with this, you will need to arrange for first aid personnel to be on hand, especially if it is an outdoor event where people might suffer from heat exhaustion or accidents.

So Many Exciting Details To Cover

No special event is complete without floral arrangements. If the event is held in an arboretum or is a twilight dinner and tour of the zoo, the plants will be there. If not, the planning service will contact the best florist. Party supplies, decorations, transportation, parking, and even nearby hotels will all need to be considered carefully.

In all the excitement of setting up a special event, remember to record the occasion. You will need at least one professional photographer, even if everyone attending brings still and video cameras. However, if the budget lacks room for a professional, make sure several people are taking photos with film cameras. As wonderful as digital cameras are, pictures can be deleted by accident before they are ever uploaded to a computer.
