Business carbonless forms, or NCR forms as they are more commonly called are an integral part of document management. They allow work to be streamlined by making it easier to track and record each transaction, and can be invaluable time saving devices. However, in order for them to be effective, other aspects of business organization must be in place.

First, filing must be maintained effectively. Business carbonless forms result in multiple copies of a document for any given transaction. In order to prevent this from becoming a mess, you must know where each copy is going and have a system for retrieving it quickly. This seems easy, but as business picks up throughout the day, it is all too easy to lose track of things.

Handling Business Carbonless Forms
In addition to filing properly, all employees must be well-versed in appropriate document management. Depending on the nature of your work, business carbonless forms may contain confidential information that must be handled with care. Consequently, the fact that you have multiple copies of sensitive information becomes a liability if employees do not follow careful procedures.

All of this falls under the heading of general office management. However, it is important to recognize that NCRs and other information management tools are insufficient in the absence of competent employees. Sort out your office practices beforehand and you will truly appreciate what they have to offer.
