If your company is planning on holding a conference that peers or clients will be attending, you will certainly want a sophisticated visitor management system in place. For one thing, this will allow you to plan in advance of their arrival. From the visitor log and passes to the parking permits, you will be able to prepare materials to ensure that your visitors' welcome is smooth.

Most conferences will prepare name tags with the visitors' names already printed. Not only does this allow visitors to know the names of other attendants, but can also provide assurance that only registered guests are in attendance. Similarly, it would allow you to determine if any name tags are unclaimed.

Visitor Management Technology

For companies that hold many conferences, investment in a label printer may be worthwhile. The two main types to consider are direct thermal printers and thermal transfer printers. Direct thermal printers can only print on thermal labels and thermal tag stock, whereas thermal transfer printers print on label paper and tag stock.

Not surprisingly, printers are available that combine these two types of technology and can print on both types of labels. Assuming that you already have a computer available, the only other component of a visitor management system that you may need to purchase is visitor management software. This software can help you to produce name tags in a fraction of the time of less specialized software, as well as being able to maintain records and prepare reports.
