People in various businesses have the option of purchasing preventative maintenance software to manage their time and preserve their assets. Appliances and equipment represent many companies' largest capital investments. Keeping various appliances and other assets working properly is the same as being prudent with money.

The longer a business can use its machinery and hardware, the less money it spends on new items. Companies should adhere to manufacturers' recommendations on how to preserve equipment. It's easy to forget when certain parts are due for cleansing or repair, but software developers have invented solutions that make forgetting practically impossible.

With preventative maintenance software, people do not have to rely on their memories. They don't have to write hundreds of maintenance reminders in personal organizers either. After installing this type of software, people just need to spend a day entering information, which will be stored in databases. After that, the programs plan ongoing maintenance.

Setting Up Preventative Maintenance Software

For each equipment part, eight pieces of information must be entered into Excel spreadsheet columns. First, people have to name their equipment. Most databases created by preventative maintenance software will list accessories alphabetically.

To the right of equipment names, users indicate where the parts are located for quick reference. For example, a fan coil that needs periodic replacement needs to be qualified by location, because some businesses own various fans throughout their facilities. Preventative maintenance software programs will also ask people to identify the type of service that these parts need. Some pieces of equipment simply require periodic inspection, while others need replacement or cleansing. Moving parts often need greasing to prevent unnecessary wear and tear caused by heat and friction.

Preventative Maintenance Software Computes Schedules

On the same spreadsheets, people indicate the intervals at which certain maintenance tasks should be performed. Some air conditioners, for example, require filter changes every 90 days. Preventative maintenance software programs use this information to create recurring schedules. When people print their weekly task lists, items that are due for maintenance will automatically appear.

Moreover, some appliances require only seasonal maintenance. Using maintenance software, people can indicate the starting and ending dates when equipment will be used. When the season ends, equipment will no longer show up on daily task lists. The following year, it will automatically reappear when the season begins.

Preventative maintenance software enables workers to write notes and messages about various parts. It's important to keep running logs on how often certain parts have to be fixed, or if there are any special tricks needed to get things running. When companies hire new facilities personnel or mechanics, this information will not be lost. Memos are stored in maintenance databases and appear whenever someone calls up info on specific equipment.
